The 7 ConnectWise Misconfigurations Costing MSPs Real Money
Nobody sets ConnectWise up wrong. They just never go back and check.
Most MSPs don’t lose money on ConnectWise because the platform is broken. They lose it because the environment was never built — it evolved. New workflows layered on old ones, data standards drifted, integrations piled up, and nobody went back to check.
We know the pattern because we’ve run an MSP on ConnectWise ourselves, and because our consulting practice assesses these environments for a living. The same issues surface again and again — and most of the money we find isn’t missing. It was earned, logged, and never collected. Here are seven of the most common leaks.
The short version
- The money isn’t missing — it’s stuck. Work you did, time you logged, revenue you never invoiced.
- Bad data hides bad billing. When reporting can’t be trusted, nobody catches the leaks.
- You can’t fix what you can’t see. Assessment comes before optimization, every time.
The seven we see most
Billable time sitting against closed tickets, never invoiced
The work was done. The time was captured. The ticket closed. And the revenue was left on the table because it never made it onto an invoice. We find these in virtually every environment we assess — the money is already yours, it just never got collected.
Discounted labor rates with no expiration date
A goodwill discount thrown in to close a deal three years ago — still running today, long after anyone remembers why. On a single agreement that can quietly erode tens of thousands in annual revenue, and it compounds every month it goes unnoticed.
Out-of-scope time absorbed instead of billed
Work that should have been billed as project or T&M gets charged to the agreement instead. Most partners don’t chase it — they absorb it. Left unmanaged, that’s hundreds of unbilled entries and six-figure annual exposure hiding on the service board.
Agreements where costs were never loaded
On paper the agreement looks profitable. In reality, costs and line items were never loaded and time was never captured against the attached tickets — so you have no idea what it actually costs to deliver. “Profitable” that you can’t verify isn’t profitable, it’s a guess.
Ticket statuses that show “closed” while staying open
Statuses get quietly reconfigured so tickets display as closed while remaining in an open state. Billing never triggers. Revenue walks out the door silently, at scale — and because the board looks finished, nobody’s looking for it.
A database flooded with junk tickets and catalog bloat
Misconfigured integrations that spawn a ticket for every event — no type, no subtype, no classification — contaminate every report and automation that touches them. Same story with product catalogs carrying thousands of unused subcategories. A clean environment starts with structured, deduplicated data, not a landfill you learned to ignore.
Abandoned quotes and opportunities inflating the pipeline
Dead opportunities and open quotes left sitting in the system make your funnel look healthier than it is — and hand leadership a false picture to plan against. Clean pipeline data is the difference between forecasting and wishful thinking.
Why these add up faster than they look
Individually, none of these throws an error or feels urgent — which is exactly why they persist. But they compound. Uninvoiced time makes agreements harder to true up. Junk data makes reporting untrustworthy. And untrustworthy reporting means nobody catches the first two. Automation doesn’t save you here either — deploy automation on top of bad data and you just move the problem faster.
The quiet cost
Revenue earned and never collected. Agreements that look profitable but aren’t. A pipeline and a set of reports nobody fully trusts.
The fix path
Measure first. Surface the leaks with your own data, rank them by dollar impact, and close them in order — with the exact records to fix and where to find them.
Before you fix it, see it
You can’t fix what you can’t see. That’s the whole idea behind SMARTinsight — we bring your ConnectWise data into a private lakehouse and run AI directly against it to surface exactly where revenue is leaking and what it’s costing, down to the specific records and where to find them in ConnectWise. The findings become the roadmap; nothing gets touched until you know what’s worth fixing first.
We’re Decision Digital — a ConnectWise consultancy built by people who’ve operated an MSP on the platform since 1997, not just read the documentation. If any of these seven sound familiar, that’s worth a conversation.
